Job Description

Under direction with latitude for independent judgment and decision, the coordinator is responsible for entering and updating the music licensing database with all information relating to music licensing quotes and contracts including licensee/licensor/term/territory/media/rights, as well as filing administration for foregoing quotes and licenses, including tracking outstanding licenses, and tracking the receipt and license fees and other payments from clients.

  • Coordinates all aspects of file and data administration for quotes and licenses, including tracking outstanding licenses, and tracking receipt of license fees from clients.
  • Maintains music licensing iMaestro database.
  • Must be able to read and understand materials and documents and have the ability to recognize and extract critical data and information.
  • Prepares various music licensing related reports including open quotes/license, not paid/union licenses.
  • Track and follow up on unresolved licensing issues.
  • Aid in music searches and pitches according to client requests.
  • Updates and administers all music metadata on the department website.
  • Grooms music data files for upload to department website.
  • Listen and add descriptive terms to music on the department website for internal and client searches.
  • Create themed playlists and artwork for department website.
  • Handles all aspects of digital music library including updating music supervisor hard drives, updating and maintaining network drives and coordinating receipt and conversion of music files. 
  • Handles all aspects of physical music library including cataloging CDs/DVDs/DATs/Sheet Music/Other Media, providing inventory reports when necessary, coordinating receipt and pickup of all music media with the onsite vault and the corporate storage facility. 
  • Uses Digital Audio Workstation software to convert analog media into digital files and to edit music according to client specifications.
  • Handle all related work and various projects as requested by the department Director.


Required Skills: 
  • 2+years experience music licensing.
  • Ability to read, extract and input critical data.
  • Data entry experience using web-based database(s).
  • High level of professional communication etiquette.
  • Self-starter with ability to handle high volumes of work.
  • Strong organization skills, high attention to detail and ability to effectively manage time.
  • Proficiency in Microsoft Office programs: Outlook, Word and Excel.
  • Proficiency in iTunes.
Preferred Skills: 
  • Mac and PC capable.
  • Experience with a variety of Digital Audio Workstation software.
  • Experience with Adobe Illustrator, Photoshop and Audition.
  • Experience with web based programs SynchTank and iMaestro.
