Office Manager, The MLC (NA)

THE ROLE

In this role, you will keep the office running smoothly and oversee management of administrative needs, health & safety measures for the office, housekeeping measures, equipment maintenance and hospitality services. You are responsible for a wide range of responsibilities that requires daily presence in the office. You love to solve problems, big and small, deliver a high level of service for employees and guests. You thrive in a dynamic, fast-paced environment; you approach every challenge head-on. As a member of The MLC team, you will help to maintain and champion The MLC’s unique culture.

QUALIFICATIONS?

  • Five years of relevant office management, administrative or assistant experience
  • Excellent spoken and written communication skills
  • Proven ability to handle multiple priorities while being calm under pressure
  • Ability to handle confidential information
  • Organized and a strong attention to details
  • Above average Microsoft skills (Excel, PowerPoint, Word)
  • Familiarity with “teams” rooms technology preferred

ESSENTIAL RESPONSIBILITIES?

YOU MANAGE OFFICE OPERATIONS BY:

  • Overseeing general office operations such as the mail, deliveries, and the procedures for greeting guests
  • Ensuring the reception area is covered and welcoming to guests and ensuring a positive first experience
  • Maintaining office supplies in kitchen & dining areas, meeting rooms and copy room
  • Ensuring housekeeping measures are within standards set by The MLC and building management
  • Ensuring security measures are within standards set by The MLC and building management
  • Troubleshooting equipment issues in the office Organizing and scheduling meetings as needed
  • Partnering with HR to maintain office policies
  • Assisting in the planning and execution of on-site and off-site events
  • Ensuring bills are proofed and paid accurately and on time
  • Coordinating with interior plant scaping vendors
  • Other duties as assigned

YOU MANAGE OPERATIONAL SUPPORT DUTIES BY:

  • Coordinating domestic and international travel, including flight, hotel and car rental reservations for the MLC team; within T&E policy guidelines
  • Maintaining CPR certification and ensuring the workplace meets safety standards as set by The MLC and building management
  • Negotiating for office perks for the MLC team and guests
  • Creating and tracking budget spend for areas of responsibility
  • Managing all aspects of office space changes/infrastructure moves, planning, and resources
